Apex serves approximately 2,000 students annually from Kindergarten through their post-secondary years. We provide children and young adults with opportunities to develop strong relationships with adults who volunteer as consistent and caring mentors and role models.

POSITION SUMMARY

We are seeking a Database and IT Senior Administrator to manage the organization’s data systems and technology solutions. Duties include managing the organizations’ data needs, creating and managing systems to securely collect, store, and report on data for programs, marketing and communications, and development needs. Duties also include implementing technology solutions that fit the organization's need, interfacing with software and hardware providers while also training staff to properly adopt the solutions and best practices.

Reporting to the Director of Finance and Operations, the Database and IT Senior Administrator is responsible for creating systems and organizational best practices in order to improve the organization’s efficiency and ability to make data-driven decisions. The Database and IT Senior Administrator works closely with third-party providers and programmers as needed to design and secure the best-fit solution for Apex’s budget and data and technology needs. This senior administrator will work collaboratively across different teams and perspectives to create an integrated solution that meets the needs of different stakeholders to innovate and create data and technology systems that will be crucial to support the mission of the Apex.

RESPONSIBILITIES

Database Administration (40%):

  • Support the ongoing development of Apex’s staff team by designing and disseminating best practices on Salesforce and other data systems usage including training, documentation and support as necessary and help ensure that data is maintained properly
  • Act as an administrator of the Salesforce database, or serve as the internal liaison with external consultants / developers as applicable, for the creation and maintenance of workflows, custom fields and objects, reports, dashboard development, and data flow management
  • Develop and lead staff trainings and resources for new and existing functionalities, and address ongoing learning and questions. Develop self-service tools for staff to build a consistent approach to data management across Apex.
  • Manage the build of Salesforce for Programs Department in order to update Apex’s Programs Salesforce instance to better capture program activities and report on program outputs
  • Manage staff and processes to clean, validate, and import different data sets into Salesforce

IT Administration (30%):

  • Support Apex’s strategic goal of developing robust and comprehensive data systems by assessing needs across the organization, identifying appropriate systems, and mapping and documenting processes
  • Perform administrator functions such as user profiles, roles, and permissions, storage and backup management, as well as cleanup and updates of unused fields and objects
  • Manage organizational platforms such as Google Suite, Asana, Airtable, and others, including providing process improvements and training as needed
  • Develop business processes with relevant stakeholders including the Program Data Analysis Manager and Growth and Data Marketing Senior Manager in order to allow the organization to optimize data conversion and implementation processes
  • Stay current with software releases and corresponding documentation and roll out new functionalities as appropriate
  • Receive and manage change requests and troubleshooting error requests from staff

Collaboration and Communication (20%):

  • Create dashboards and other tools to provide visibility of progress to senior leadership and facilitate data-driven decision-making.
  • Collaborate with Apex departments to develop strategies for addressing organizational gaps, providing actionable insights from data analysis.
  • Collaborate with teams to build and improve sustainable systems for reporting, dashboard management, targeted marketing, and development efforts

Other Duties (10%):

  • Manage relevant third-party integrations including Titan, JotForms, DemandTools, OmaticCloud, Classy, Google Analytics 4, SEO tools and others

QUALIFICATIONS

  • BA or BS preferred
  • 4-7 years of relevant experience preferred
  • Salesforce Administrator Certification and / or Salesforce Certified Platform App Builder and / or comparable experience preferred but not required
  • Ability to design and implement the appropriate technical solutions, and effectively communicate about deliverables, timelines and tradeoffs
  • Ability to collaborate with team members across programs and departments to strengthen understanding of program goals, evaluation of data systems, and design of cross-department data solutions that support the broader team
  • Works effectively and efficiently, both virtually and in-person, independently and part of a team
  • Strong communication skills and ability to present to various stakeholders of varied technical backgrounds
  • Flexibility to adapt to changing needs to best support Apex’s mission and ability to interpret, prioritize, and translate team data needs to optimize our data system
